Maintenance Requests

QR code maintenance requests for every machine

Put a QR label on each machine, room or area. Anyone who spots a problem scans it and picks what is wrong, and your team gets the request with the machine and location filled in.

How it works

How maintenance requests work, start to finish

A numbered QR label on every machine. Anyone who spots a problem scans it, the right technician is told, and you see every fix by location. Here is the whole path.

  1. Step

Set it upChoose your campaignLabel your equipment

Pick QR Campaigns or Maintenance Requests in step 1 and the rest of the path fills in for the one you chose.

    QR Campaigns

Decide what the code should do. Ask one question, for example “How was your visit?” Collect a name and a phone number. Send people to your Google review page. Or open a link, such as a menu or an offer. Then tick the locations you want it at. Each one gets its own QR code.

    • Satisfaction check
    • Lead capture
    • Google reviews
    • Open a link
    • One code per location
    Maintenance Requests

Add your machines and equipment to your account: the ice maker, the treadmills, the AC units, the restroom doors. Type the list in, import a spreadsheet, or stick blank numbered labels on first and name each one by scanning it. Each machine gets its own numbered QR label. Print the labels from your account, or pay us to print them on tough material and ship or install them.

    • A numbered QR label on every machine
    • Print them yourself, or order printed labels
    • Import your list from a spreadsheet
    • Blank labels, name them by scanning
  2. Step

    Generate postersGenerate postersGenerate posters

    QR Campaigns

We make a professional poster for every location automatically: your logo, your colors, your headline and that location’s own code. Each location gets its poster by email, ready to print and put up. Have your own design? Upload it and we place each location’s code on it.

    • Posters made for you
    • Your logo and colors
    • Or upload your own design
    • Emailed to each location
  3. Step

People start scanningCustomers start scanningSomeone scans a label

    QR Campaigns

A customer sees the poster and scans it with their phone camera. No app, no login. They answer your question, leave a Google review, fill in a short form, or open the link you chose. It takes a few seconds, and the location is recorded with it automatically.

    • Phone camera, no app
    • One question or one tap
    • Location recorded automatically
    Maintenance Requests

Something breaks. Whoever notices, a staff member or a customer, scans the label on that machine with their phone camera. No app, no login. They pick the problem from a short list, add a photo or two, and tap send. Because the label is already tied to that machine and that location, they never have to type what broke or where.

    • Phone camera, no app
    • Short list of problems
    • Up to 2 photos
    • Machine and location already filled in

    Maintenance Requests

The technicians who cover that location are notified. They see the machine, the problem and the photo, go and fix it, and mark it resolved with a photo of the fix. The person who reported it gets an email that it is done. Nobody has to chase anybody.

    • Technicians per location
    • Notified by email
    • Before and after photos
    • Reporter emailed when fixed

    QR Campaigns

Every answer lands in your account with the location on it. One table compares all your locations, biggest opportunity first, so you know where to look. Want to change the question or the link? Edit it in your account. The posters already on the wall keep working.

    • All locations in one table
    • Biggest opportunity first
    • Edit without reprinting
    • CSV export
    Maintenance Requests

Every request, every location, one list. Reports show how fast things get fixed at each location, which machines keep breaking, and where the open requests are piling up. Head office sees all of it. Each location manager sees their own.

    • One list for every location
    • Median fix time
    • Repeat failures
    • Requests per machine
    • Activity log
  6. Step

Add the rest of your locations

Start with one location to see how it goes, then bring the others in whenever you are ready. One corporate account, one invoice, and each manager sees their own location.

Reports

Maintenance reports by location

See where repairs pile up for the size of each location. Reports count requests per machine, so a big site and a small one are compared fairly.

✓

Typical fix time

Shown as the median, so one job that drags on for weeks does not skew the number.

✓

Repeat failures

Machines reported again within 30 days of a fix. A sign it may be time to replace, not repair.

Maintenance request questions

Do people need an app to report a problem?

No. They scan the label with their phone camera and a web page opens. No app, no account. They pick what is wrong, add a description if they like, and can attach up to 2 photos.

How do technicians and contractors get access?

Invite them as a technician. They can see the whole account or only the locations you share with them. Contractors are set up the same way. Technicians are unlimited on the Operations plan.

How are we told about a new request?

By email. Each new request emails the location and the account owner, and whoever it is assigned to gets an email too. There are no text messages or push notifications.

Does it do preventive or scheduled maintenance?

No. There are no service schedules, recurring jobs or maintenance calendars. It handles problems people report, plus requests your staff raise from the dashboard.

Does it connect to our CMMS or other software?

No. There are no integrations, sync or public API. It runs on its own, as a simpler CMMS alternative for faults people report. Your equipment list downloads as a CSV file, and you can ask for a CSV of your requests from Settings, which we email to you.

Is the person who reported it told when it is fixed?

Yes, if they left an email address. When a request is resolved as Fixed, Cleaned or Replaced, the person who reported it gets an automatic email. Each location chooses whether its report form shows that field. Other outcomes, such as No fault found, send nothing, and there are no text messages.
