Maintenance Requests use case

QR asset tagging that builds your equipment register

The quickest way to build an equipment register is to label what is in front of you. Print blank numbered QR labels, stick one on each machine, then scan each label to name it, or import up to 500 rows from a spreadsheet. Every label then doubles as the place anyone reports a fault.

The problem

Why this is hard today

The register is out of date

The spreadsheet lists machines that left two years ago and misses the ones bought since.

Machines have no names

"The second dryer from the left" is how faults get described, and it means different things to different people.

Asset tags that do nothing

A barcode sticker that only matters during an annual audit gives nobody a reason to look at it the rest of the year.

How it works

How asset tagging and equipment register works with KudoTaps

1

Pick how to start

Add machines one at a time, import a spreadsheet of up to 500 rows, or print up to 200 blank numbered labels per batch.

2

Print the labels

Labels are 2.5 x 1 inch stickers, printed three across, up to 400 at a time on your own printer.

3

Stick and name

Put a label on each machine, then scan it signed in to give it a name. Add make, serial and notes whenever you like.

4

Keep it current

Add tags and a photo to each machine. New machines get the next number, and old numbers are never reused.

What you get

What you get

✓

A live register

The equipment list shows open requests, requests in the last 30 days and average fix hours for each machine.

✓

Every tag takes reports

Anyone can scan a label to report a fault, with no app and no account.

✓

No limit on tags

Unlimited equipment on Operations, and equipment QR codes do not count toward your QR code limits.

Frequently asked questions

What size are the labels?

2.5 x 1 inch stickers, printed three across a sheet. You can print up to 400 at a time.

Do you supply durable or metal tags?

Yes, for a fee. We can print durable tags, ship them and install them. Ask for a quote.

Can I import the equipment list we already have?

Yes. Import up to 500 rows per spreadsheet, with name, make, serial, notes and location.

What happens to a number when a machine is removed?

It is retired. Numbers are never reused, so old reports and photos never get attached to the wrong machine.

Is this a fixed asset or accounting register?

No. It is a maintenance register: what the machine is, where it is, and its fault history. It does not track purchase cost or depreciation.

Do I need a special scanner?

No. Any phone camera reads the labels, for staff and the public alike.

Run it at every location

Set up asset tagging and equipment register at one location, run it for two weeks, and see what the numbers tell you. See how maintenance requests work or talk to us about 10+ locations.
