Maintenance Requests use case

Multi-site maintenance management from one account

Multi-site maintenance management means knowing, from one screen, what is broken at every location, who owns it and how long it has waited. KudoTaps gives each location its own equipment list and QR labels, sends every request in tagged to its site, and reports fix times and requests per machine side by side.

At a glance

  • Plan: Operations plan, $59 per location per month
  • Trial: 14 days free on your first paid plan
  • Reporting: Anyone scans a label with their phone camera. No app, no account.
  • Results: Reported per location, so sites can be compared fairly
  • Users: Unlimited equipment and technicians
The problem

Why this is hard today

Every site runs its own system

One location uses a whiteboard, another a group chat, a third emails the regional manager. Nothing adds up into a single picture.

Raw counts mislead

A location with 120 machines will log more faults than one with 20. Raw counts make the large site look busy and hide the small one that breaks constantly.

Nobody owns the backlog

Old requests sit at sites nobody visits. Without an "oldest open" figure per location, you find out when a customer complains.

How it works

How multi-site maintenance management works with KudoTaps

1

Add locations and equipment

Import up to 500 rows from a spreadsheet, or label first and name later. Numbers start at #1 for each location.

2

Label every site

Print 2.5 x 1 inch labels for each location, three across, up to 400 at a time, and stick them on.

3

Route each request to its site

A scan creates a request tagged to that location. The location and the owner get an email, and you assign it to a technician.

4

Compare locations

The per-location table shows equipment count, requests per machine, median fix time and oldest open request for each site.

What you get

What you get

✓

Requests per machine

Each location's requests divided by its equipment count, so a small site and a large site can be compared fairly.

✓

Oldest open, per location

The single request that has waited longest at each site, so nothing quietly ages out of sight.

✓

Ageing of open requests

Open work grouped by under 1 day, 1 to 3 days, 3 to 7 days and over a week.

✓

Opened vs resolved, week by week

A weekly trend that shows whether the backlog is shrinking or growing.

✓

Technicians scoped to their sites

A technician can see the whole account or only the locations you share with them.

✓

Unlimited equipment and technicians

Operations is priced per location. Machines and technicians do not add to the bill.

Frequently asked questions

How is it priced for many locations?

The Operations plan is $59 per location per month, with unlimited equipment and technicians. For 10 or more locations, talk to us for a quote.

Can someone see only the sites they look after?

Yes. A team member set as a technician can be limited to the locations you share with them. With no other permissions they see only Maintenance.

Can we bring in our existing equipment list?

Yes. Import up to 500 rows per spreadsheet, with name, make, serial, notes and location.

Does it sync with our ERP or existing CMMS?

No. There are no integrations, no webhooks and no public API. KudoTaps runs on its own, and your data comes out as CSV files.

Is there a mobile app for site staff?

No. Everything runs as web pages in a phone browser, so there is nothing to install. It needs a connection; there is no offline mode.

Does it plan routine maintenance across sites?

No. There is no preventive or scheduled maintenance. It covers faults as they are reported, and how fast each site fixes them.
