Maintenance Requests use case

Proof of repair photos on every maintenance request

Proof of repair is a before photo, an after photo and a record of who closed the job and how. KudoTaps keeps three kinds of photo on each request, from the report, before the work and after it, next to the outcome and a timestamped activity log.

The problem

Why this is hard today

"It's done" is not evidence

A message saying the job is finished does not show what was fixed, or whether it was fixed properly.

Disputes with contractors

When an invoice arrives for work nobody saw, there is nothing to check it against.

Head office cannot visit every site

Regional managers need to trust the work at locations they rarely see.

How it works

How proof of repair photos works with KudoTaps

1

The report comes with a photo

The person reporting can attach up to 2 photos, so you see the fault as it was found.

2

A before photo

A before photo can be added to the request before the work starts.

3

Resolve with an after photo

On resolve, the technician picks how it ended and attaches an after photo.

4

Review the record

Photos, notes, outcome and the activity log sit together on the request.

Frequently asked questions

How many photos can someone attach when reporting?

Up to 2 photos per report. Technicians add the before and after photos.

Does the activity log show when each step happened?

Yes. Every action on a request is recorded with who did it and when.

Does the person who reported see the after photo?

No. Photos stay on the request for your team. If the person who reported left an email address, they get an automatic email when the request is resolved as Fixed, Cleaned or Replaced, but it does not include photos.

Can we use this to check contractor invoices?

You can use the photos, outcome and activity log as evidence. KudoTaps does not handle invoices or payments.

Do technicians need an app to take photos?

No. They use their phone browser and camera. A connection is needed, as there is no offline mode.
