Facilities maintenance requests by QR code for multi-site property portfolios

Put a QR label on each lift, plant room, restroom and car park barrier. Whoever finds a fault scans it and reports in one tap. The request arrives tagged with the asset and the building, in one queue for the whole portfolio.

How it works today

Reporting depends on who is standing there

A tenant emails, a cleaner mentions it, a contractor notices. Three routes in, none of them a queue.

Contractors work blind

The job arrives as a forwarded email with half the detail and no history of what was done last time.

You cannot defend the budget

Asking for capital replacement needs a record of how often an asset failed. Email threads are not that record.

Setting up a site

An afternoon, not a project

No register to build first. Print blank numbered labels, stick them on, then name each one by scanning it.

1

Print blanks

Pick a site and a number. They come out numbered and ready.

2

Stick them on

No decisions yet. Just get them on the equipment.

3

Scan and name

Scanning a blank label offers to set it up. Name it, save, next.

4

Live from there

Anyone who scans it can now report a problem against it.

The reports

Where repairs pile up, site by site

Raw counts only rank your sites by size. Requests per piece of equipment is the number that survives comparing a small site with a large one.

✓

Typical fix time, not the average

One job that drags on for weeks pulls the average far from a normal repair. The median shows what a typical fix really takes.

✓

What keeps coming back

Reported again within 30 days of being fixed. The number that justifies replacing it.

What you get

✓

One route in, for everybody

Tenants, cleaners, security and visitors all use the same label. No account, no app. Staff can also raise requests from the dashboard.

✓

Contractors scoped to their buildings

Set each contractor up as a technician and share only the buildings they cover. They see those requests and nothing else.

✓

A history on every asset

Each request keeps its photos, notes, outcome and a timestamped activity log. The equipment list shows requests in the last 30 days and average fix hours per asset.

✓

A record that supports replacement

Reports list assets reported again within 30 days of being fixed, plus requests per asset and median fix time by building.

Customer feedback

Feedback campaigns for facilities

Ask tenants and visitors the same question in every building, and see where to focus first.

How QR code campaigns work ›

✓

Restroom cleanliness checks

A Satisfaction Check on each washroom door: one question, three faces, optional comment. The report lists buildings biggest opportunity first.

✓

One code per building, in bulk

Create codes for up to 500 locations in one run. Each building gets its own code and a poster made for it, sent to that building's email or all to one address.

✓

Update centrally, reprint nothing

Change the question and every code across the portfolio follows. Reports filter by campaign and export to CSV.

Frequently asked questions

Will this replace our CMMS?

For many portfolios it covers the reactive side: getting faults in, tagged, assigned, fixed and reported. It does not do preventive maintenance schedules, inventory or purchasing, and it does not integrate with other systems.

Do tenants need accounts to report a fault?

No. Scanning opens a web page. Only your own staff and technicians sign in.

Can contractors use it?

Yes. Contractors are added as technicians. Limit each one to the buildings they cover, and they can mark jobs in progress or fixed by scanning the label.

Can we label equipment outdoors or in wet areas?

Standard labels are 2.5 x 1 inch printed stickers. For outdoor and wash-down areas, we can print, ship and install durable tags for a fee.

Do alerts go by text message?

No. New requests email the location and the account owner, and assignment emails the technician. There is no SMS, push or mobile app.

How do we tag hundreds of assets quickly?

Import a spreadsheet of up to 500 rows, or print blank numbered labels (up to 200 per batch), stick them on, then name each one by scanning it.

Start with one site

Label one location, run it a month, see whether the numbers tell you something you did not already know.
