Facilities maintenance and visitor feedback for multi-site clinics and medical offices

Put a QR label on entrance doors, restrooms, waiting room fixtures and HVAC units. Staff scan it, tap what is wrong, and a request reaches maintenance tagged with the clinic and the item. It covers the building and its fixtures, not clinical records.

How it works today

Front desk staff are the maintenance system

A broken door or a leaking restroom gets mentioned at the desk, written on a sticky note, and forgotten when the shift changes.

Each office reports differently

Some clinics call the facilities manager, some email, some fix it themselves. Nobody can see what is open across all sites.

Waiting room conditions go unmeasured

You hear about a dirty restroom or a broken chair only when someone complains loudly or leaves a public review.

Setting up a site

An afternoon, not a project

No register to build first. Print blank numbered labels, stick them on, then name each one by scanning it.

1

Print blanks

Pick a site and a number. They come out numbered and ready.

2

Stick them on

No decisions yet. Just get them on the equipment.

3

Scan and name

Scanning a blank label offers to set it up. Name it, save, next.

4

Live from there

Anyone who scans it can now report a problem against it.

The reports

Where repairs pile up, site by site

Raw counts only rank your sites by size. Requests per piece of equipment is the number that survives comparing a small site with a large one.

✓

Typical fix time, not the average

One job that drags on for weeks pulls the average far from a normal repair. The median shows what a typical fix really takes.

✓

What keeps coming back

Reported again within 30 days of being fixed. The number that justifies replacing it.

What you get

✓

Fast for busy front desks

Scan, pick what is wrong, add up to two photos. No app and no login for the person reporting.

✓

Safety issues stand out

Reporters can choose Safety issue, and you can set priority to High and assign it to a technician, who gets an email.

✓

Contractors see only their sites

Add your building contractor as a technician and share the clinics they cover. They see Maintenance for those sites and nothing else.

✓

Fix times by clinic

Reports show median fix time, oldest open request and requests per item for each clinic, plus a weekly opened versus resolved trend.

Customer feedback

Feedback campaigns for clinics

Ask visitors the same simple question in every clinic waiting room, and compare sites.

How QR code campaigns work ›

✓

Waiting room and restroom checks

A Satisfaction Check with one question about the visit or the facility, three faces and an optional comment. A sad face emails the account owner.

✓

Each office's own pages

A Link campaign sends every clinic's code to its own website or social page, so visitors land on the right office.

✓

Posters for every clinic

Posters are generated per location with your logo and colors, emailed to each clinic, or combined into one print pack.

Frequently asked questions

Is KudoTaps a medical equipment or biomedical maintenance system?

No. It is built for facilities: doors, restrooms, HVAC, fixtures and similar. Keep your existing service records and processes for clinical and regulated equipment.

Should patient information go into reports or feedback?

No. Reports and feedback are about the building and the visit experience. Ask staff and visitors not to include personal health details in descriptions or comments.

Do staff need an app to report a fault?

No. They scan with the phone camera and a web page opens. It works on any phone browser.

Does it schedule routine servicing or inspections?

No. There is no scheduled or recurring maintenance. It handles faults that people report and the repairs that follow.

How are we alerted to a new report?

By email to the clinic and the account owner, and to the technician when it is assigned. There is no SMS or push notification.

Can a facilities contractor see all of our clinics?

Only if you share them. A technician can be limited to specific locations.

Start with one site

Label one location, run it a month, see whether the numbers tell you something you did not already know.
