Maintenance Requests use case

A simple CMMS alternative for reactive maintenance

If your maintenance problem is that faults get reported late, lost or without detail, you may not need a full CMMS. KudoTaps covers the reactive side: QR labels on equipment, reports from anyone with a phone, assignment, photos and fix-time reports per location. It does not do preventive maintenance schedules or integrations, and if you need those, a full CMMS is the right tool.

At a glance

  • Plan: Operations plan, $59 per location per month
  • Trial: 14 days free on your first paid plan
  • Reporting: Anyone scans a label with their phone camera. No app, no account.
  • Results: Reported per location, so sites can be compared fairly
  • Users: Unlimited equipment and technicians
The problem

Why this is hard today

Full systems stall in rollout

A CMMS needs set-up, data loading and training before the first request goes in. Some teams never get past the old whiteboard.

Reporting still takes effort

Many CMMS tools have a request portal, but the person reporting still has to find it, sometimes sign in, and type out which site and which machine. Members, guests and floor staff often do not bother.

Paying per seat for modules you do not use

Many CMMS tools charge per technician. If you mainly need to know what is broken and how fast it gets fixed, a planning and inventory suite priced per user is more than the job needs.

How it works

How a simple CMMS alternative works with KudoTaps

1

Label your equipment

Print numbered QR labels and scan each one to name it, or import up to 500 rows from a spreadsheet.

2

Anyone reports a fault

Customers, members, tenants or staff scan the label with their phone camera. No app, no account.

3

Technicians work the request

Assign it, set priority, mark it in progress, resolve it with an outcome and an after photo.

4

Head office reads the reports

Median fix time, slow tail, oldest open, requests per machine and repeat failures, per location.

Frequently asked questions

What does a full CMMS have that KudoTaps does not?

Preventive and scheduled maintenance, service intervals and calendars, spare parts stock, and integrations with ERP or other systems. KudoTaps has none of these. It also has no public API, no SSO and no mobile app.

Who is KudoTaps right for?

Multi-location businesses whose main maintenance work is reactive: things break, someone needs to report it, someone needs to fix it, and head office needs to see how fast. Gyms, car washes, restaurants, hotels and facilities teams fit this well.

Who should choose a full CMMS instead?

Teams that run planned servicing on a calendar, need compliance schedules for regulated equipment, manage parts stock, or need maintenance data flowing into an ERP.

Can it run alongside our existing CMMS?

Yes. Teams use it for the sites or teams that have no CMMS seats, or as the way customers and floor staff report faults, and keep the CMMS for planned work. Nothing syncs automatically, as there are no integrations or webhooks. Your equipment list downloads as a CSV file, and you can ask for a CSV of your maintenance requests from Settings, which we email to you.

How long does it take to set up?

Print labels on your own printer, stick them on, and scan each one to name it. A spreadsheet import of up to 500 rows is quicker if you already have a list.

How are technicians notified?

By email. There are no text messages or push notifications.
