Campaign use case

Trade show and event lead capture with a QR code form

At a busy stand, the fastest way to collect leads is a QR code that opens a short form on the visitor's own phone. In KudoTaps, set up one Lead Capture campaign per event, so each event has its own codes, its own lead count and its own report, and new leads are emailed to your team as they come in.

The problem

Why this is hard today

Badge scanners and business cards leave gaps

Rented scanners cost money and the data arrives after the show. A pile of business cards needs typing up by hand.

Queues at the stand

When one person holds the tablet, everyone else waits or walks away.

No record of which event worked

Leads from five events end up in one spreadsheet, and nobody can say which show was worth the stand fee.

How it works

How event and trade show leads works with KudoTaps

1

Create a campaign named after the event

For example "Spring Expo 2026". Choose the location or locations staffing it; each gets its own code, and leads are emailed to that location. A separate campaign per event keeps the results apart.

2

Keep the form short

Name and email, maybe company and a message. Make only what you truly need required. Write a headline that gives a reason: "Get the price list" or "Enter the prize draw".

3

Print the poster big

Generate the poster with your logo and headline, print it at a size people can scan from a few steps away, and put a second copy on the table.

4

Follow up the same day

Each new lead is emailed to the location's address as it arrives. After the show, ask for a CSV of the leads and archive the campaign; the codes keep working if someone scans later.

What you get

What you get

✓

Visitors use their own phone

No tablet to pass around. Several people can sign up at once.

✓

A campaign per event

Name each campaign after the event and the report shows that event's scans, leads and sign-up rate on its own.

✓

Lead emails as they happen

Each new lead emails the location's address (or the owner if none is set), so follow-up can start during the show.

✓

Branded posters

Colors, logo, headline and subtitle, or upload your own design. Download a print pack or have it emailed.

✓

Archive without breaking codes

Archive the campaign when the event is over. Its codes keep working and you can restore it later.

Frequently asked questions

Is this an event registration or ticketing tool?

No. There is no registration, booking or ticketing campaign type. Lead Capture collects contact details; it does not manage attendees, seats or payments.

Does it work without Wi-Fi at the venue?

The visitor needs mobile data or Wi-Fi on their phone, because the form is a web page. There is no offline mode.

Can I sync leads to Salesforce or HubSpot?

There are no integrations. Ask for a CSV of your leads from Settings, which we email to you, and import it.

Can I reuse the same posters at the next event?

Yes, but leads from both events would then share one campaign. For clean results per event, create a new campaign and print its codes.

Which fields can the form have?

Up to seven: name, email, phone, date of birth, address, company and message, each set as required or optional.

What does it cost?

Campaigns are on the Marketing plan at $29 per location per month, with a 14-day free trial on your first paid plan.
